PROJECT SCOPE
Create a distribution management system which allows for the proper planning and tracking of all invoices and returns through the entire distribution process from planning of Invoices, Loading of vehicles and Debriefing of each invoice.
the problem
GFD Logistics is a company that supplies warehousing and distribution services for National and Multinational Companies such as Pepsico, National Brands (AVI), Twizza, Crickley Dairies, Denmar Estates etc. Each of these companies send GFD delivery data in a different way and format. The effort to put all these deliveries together in a simple but efficient way and keeping track of these deliveries has become critical to the success of the business. GFD Logistics have been investigating a planning software called route optimiser and needed to integrate all this data with the software as well as manage the orders as previously mentioned.
Keeping ahead of industry requirements and needs as well as having a competitive advantage is critical in the current economic climate and therefore BOSS was contracted on a continual basis to build, develop and implement a system that will give GFD the edge they need.
the solution
GFD Logistics have been using a middleware program called Laserfiche since 2017 through-out the business. Laserfiche has been used to manage POD’s (Proof of Deliveries), Manage Bread Distribution Processes as well purchasing and Incident Report Processes. The staff have be familiar with using Laserfiche and BOSS has experience with development in Laserfiche while creating the previously mentioned processes. Due to the fact that most of the data was already being gathered in Laserfiche, BOSS was able to utilise the same data and use Laserfiche to generate the necessary custom processes and integrations to develop and implement the Distribution Management System.
Key Features and Improvements
- Created a user friendly and simple planning form to export the needed data to PTV Route Optimiser.
- Integration with PTV Route Optimiser – Pulling data back from Route Optimiser.
- Generating Shipments and Loading Confirmations in Laserfiche based on the data received from PTV Route Optimiser
- Debriefing Process of all documentation and integration of scanning process into the debriefing process.
- Reporting of all documents and document statuses within the distribution management process giving clear tracking of each document.

- Decreased time for sorting and planning of orders from approx 3-4 Hours to 30 Mins.
- Clear tracking of each document through the distribution management process.
- Detailed Reporting and Availability of information for each shipment to make efficient and effective management decisions.
- Management of critical control points within the distribution cycle incl. Planning, Loading and Debriefing.
